EMDR Basic Training: Technology Use & Privacy

Purpose
ClearWell EMDR uses technology to deliver course content, facilitate live instruction and experiential practice, communicate with trainees, document participation and course completion, and provide access to training resources.
This page explains:
The primary technologies used during ClearWell EMDR Basic Training;
How those technologies are used;
What types of information may be processed through those technologies;
ClearWell's practices regarding recording;
Privacy and confidentiality expectations during training;
Trainee responsibilities when using course technology; and
Where trainees can review the privacy and security policies of the technology providers used in the course.
This information supplements ClearWell EMDR's general Privacy Policy, which describes how ClearWell collects, uses, stores, and shares personal information in connection with our website and services.
The primary technology platforms used to deliver ClearWell EMDR Basic Training are LearnWorlds, our learning management system, and Zoom, our platform for synchronous instruction and experiential practicum activities.
1. LearnWorlds Learning Management System
ClearWell uses LearnWorlds as its learning management system (LMS) for EMDR Basic Training.
How We Use LearnWorlds
Trainees may use LearnWorlds to:
Access course orientation information;
Review training schedules and course requirements;
Complete required pre-training and asynchronous learning activities;
Access instructional videos, presentations, handouts, scripts, checklists, and other training resources;
Complete quizzes, learner assessments, surveys, and course evaluations;
Track course progress and completion;
Access information and links for synchronous training sessions;
Review policies, procedures, and trainee expectations;
Access accessibility and accommodation information;
Access technology and technical-support information; and
Receive course-related information and resources.
Information Associated With LearnWorlds Use
Use of the LMS may involve the collection or processing of information associated with a trainee's participation in the course. Depending upon the features used, this may include information such as:
Name;
Email address and contact information;
Account and login information;
Course enrollment;
Course activity and progress;
Completion of required activities;
Assessment and quiz activity;
Survey or evaluation responses;
Communications submitted through the platform;
IP address;
Browser or device information; and
Other technical or usage information associated with accessing the platform.
The information processed by LearnWorlds is also subject to LearnWorlds' own privacy, data-processing, and security practices.

Because these policies are maintained by LearnWorlds, they may be updated by LearnWorlds independently of ClearWell.
2. Zoom
ClearWell uses Zoom to provide synchronous components of EMDR Basic Training.
How We Use Zoom
Zoom may be used for:
Live instruction;
Faculty presentations;
EMDR demonstrations;
Question-and-answer sessions;
Group discussions;
Polls and other interactive learning activities;
Screen sharing and presentation of instructional materials;
Breakout-room discussions;
Experiential practicum activities;
Observation and feedback;
Faculty-supported debriefing; and
Other synchronous educational activities associated with the training.
Depending upon the activity, trainees may participate using Zoom features such as:
Audio;
Video;
Chat;
Reactions;
Polls;
Breakout rooms;
Screen sharing; and
Other interactive Zoom features enabled for the training.
Information Associated With Zoom Use
Participation in Zoom may involve the collection or processing of information such as:
Participant name or display name;
Email address;
IP address;
Device and technical information;
Meeting attendance;
Meeting participation information;
Audio or video when those features are used;
Chat or other information a participant chooses to submit;
Poll responses;
Information shared through interactive Zoom features; and
Information contained in a recording when a session is recorded.
The information processed through Zoom is also subject to Zoom's privacy and security practices.

Because these policies are maintained by Zoom, they may be updated by Zoom independently of ClearWell.
3. Recording of Live Training
ClearWell may record portions of the didactic or main-room instruction provided during EMDR Basic Training.
Recordings may be used for authorized educational, accessibility, quality-assurance, course-delivery, or other legitimate training-related purposes.
Notification of Recording
When a live Zoom session is being recorded, trainees will be informed through Zoom's recording notification and/or notification from ClearWell faculty.
A recording of the main Zoom room may capture information that is visible or audible during the recorded portion of the session. Depending upon how a trainee participates, this may include:
The trainer or presenter's audio and video;
Presentation slides or shared screens;
A trainee's display name;
A trainee's audio or video if the trainee speaks or appears on camera;
Contributions made during a main-room discussion;
Chat or other interactive content when included in the recording; and
Other information voluntarily shared in a manner captured by the recording.
Trainees should assume that information they voluntarily contribute to a recorded main-room session may become part of that recording.
Trainees should therefore never disclose protected health information (PHI), identifying client information, or other confidential client information during a recorded main-room discussion.
Breakout Rooms and Practicum Are Not Recorded by ClearWell
ClearWell does not record breakout-room or practicum activities.
Experiential EMDR practice takes place in designated Zoom breakout rooms so trainees can practice EMDR procedures, observe peers, receive feedback, and develop clinical skills within the structure established by ClearWell faculty.
These breakout-room practicum activities are not recorded by ClearWell.
Trainee Recording Is Prohibited
Unless ClearWell provides explicit authorization for a specific activity, trainees may not independently:
Audio-record;
Video-record;
Screen-record;
Photograph;
Screenshot;
Use automated transcription or meeting-capture tools;
Use AI meeting assistants, note-taking bots, or similar technology to capture another participant's content;
Copy or preserve private chat or practicum content for distribution; or
Otherwise capture, reproduce, or distribute another trainee's experiential practice or personal disclosures.
This prohibition applies particularly to practicum activities, breakout-room discussions, and personal information disclosed by other trainees.
Authorization from ClearWell does not eliminate a trainee's responsibility to obtain any other consent that may be required.
4. Client Confidentiality and Protected Health Information
EMDR Basic Training involves clinical education, case conceptualization, discussion of clinical examples, demonstrations, and experiential practice.
Trainees are responsible for protecting the confidentiality of their clients throughout all course activities.
Do Not Submit or Disclose Identifiable Client Information
Trainees should not disclose or enter client names, protected health information, or information that could reasonably identify an actual client into:
LearnWorlds;
Zoom meetings;
Zoom chat;
Polls;
Breakout-room discussions;
Course assignments;
Discussion areas;
Surveys or evaluations;
Practicum activities; or
Other course technology unless ClearWell has specifically instructed otherwise and an appropriate process has been established.
Clinical examples used for educational purposes should be appropriately de-identified.
Trainees should provide only the amount of clinical information necessary for the educational purpose of the discussion.
ClearWell's training platforms and activities are not intended to function as a client health record, clinical documentation system, or repository for identifiable client information.
5. Privacy During Experiential Practicum
Experiential practice is an important component of EMDR Basic Training. During practicum, trainees may choose to work with personally relevant material in order to experience EMDR procedures from the client role.
Participation in experiential practice does not mean that a trainee must disclose highly sensitive, traumatic, or deeply personal information.
Trainees are expected to select material that is appropriate for a professional training environment and consistent with the practicum instructions provided by ClearWell.
Trainee Choice and Privacy
Trainees are encouraged to exercise discretion regarding what they choose to disclose during experiential activities.
Trainees are not required to disclose more personal information than is necessary to participate meaningfully in the learning activity.
ClearWell provides practicum and emotional-safety guidelines addressing:
Selection of appropriate practice material;
Trainee choice;
The ability to pause an experiential activity;
Use of the established STOP signal;
Faculty support;
Appropriate boundaries during experiential learning; and
Expectations for respectful participation.
Privacy of Other Trainees
Information shared by another trainee during experiential practice should be treated with respect and discretion.
Trainees may not share another trainee's personal disclosures outside of the training context without that person's permission, except when disclosure is required by law or applicable professional obligations.
Trainees should also recognize that an online group-training environment cannot provide the same privacy protections as an individual clinical relationship. ClearWell therefore emphasizes thoughtful selection of practicum material and limits on unnecessary personal disclosure.
6. Practicum Breakout-Room Expectations
When participating in practicum or other breakout-room activities, trainees should take reasonable steps to create an environment that protects the privacy of everyone involved. EMDRIA requires participants to remain on camera for the entire training in order to successfully complete the course.
Whenever reasonably possible, trainees should:
Participate from a private or reasonably private location;
Use headphones or earbuds when others could overhear the training;
Position their screen so unauthorized individuals cannot view practicum activities;
Prevent other individuals from entering or observing the training environment;
Avoid using public or unsecured environments for experiential practice;
Notify group members or faculty if privacy is unexpectedly compromised;
Avoid placing identifying information in chat or other electronic communications; and
Follow faculty instructions regarding confidentiality and emotional safety.
No trainee should permit another person who is not enrolled in the training to observe a practicum activity without authorization from ClearWell.
7. Use of AI, Transcription, and Automated Meeting Tools
To protect trainee privacy and the confidentiality of experiential activities, trainees may not introduce third-party AI assistants, automated transcription services, meeting bots, recording applications, or similar technologies into ClearWell training sessions without prior authorization from ClearWell.
This includes tools that automatically:
Join Zoom meetings;
Record audio or video;
Generate transcripts;
Produce meeting summaries;
Capture screenshots;
Analyze meeting content; or
Store information from a training session on an external service.
ClearWell may use approved technology when necessary for accessibility, course delivery, or another authorized educational purpose. When use of such technology materially affects trainee privacy or the handling of training content, ClearWell will provide appropriate information to trainees.
8. Accessibility and Technology
ClearWell seeks to make course content and technology accessible to trainees with diverse learning and accessibility needs.
Some technology features may be used to support accessibility, including features such as captioning, transcripts, accessible digital materials, or other accommodations when appropriate.
A trainee who requires an accommodation related to technology access or participation should contact ClearWell as early as possible so that available options can be discussed.
Accessibility tools should not be used to independently record, preserve, or distribute confidential practicum or trainee information unless their use has been authorized for that purpose.
9. Account and Access Security
Trainees are responsible for taking reasonable steps to protect access to their course accounts and training sessions.
Trainees should:
Keep LearnWorlds login credentials private;
Use appropriate password-security practices;
Not share their course account with another individual;
Not share private Zoom meeting links with individuals who are not authorized to attend;
Log out of shared devices when finished;
Maintain reasonable security protections on devices used to access training; and
Notify ClearWell if they believe their account or course access has been compromised.
Course materials and access credentials are intended for the registered trainee and should not be distributed to unauthorized individuals.
10. Third-Party Technology Providers
ClearWell relies on third-party technology providers to support delivery of EMDR Basic Training.
These providers maintain their own privacy, security, data-processing, and technology practices. Their policies may change independently of ClearWell.
ClearWell encourages trainees to review the privacy information for the technologies they use.

ClearWell may use additional technology or service providers in connection with registration, payment processing, communication, accessibility, or course administration. Where another technology materially affects trainee participation or privacy, information about its use will be provided as appropriate.
11. Changes to Technology Used in the Course
Technology used to deliver EMDR Basic Training may change as platforms, features, accessibility options, or course-delivery needs evolve.
If ClearWell introduces a technology that materially changes how trainees participate in the course or how trainee information is processed, ClearWell will update this information or otherwise provide appropriate notice to trainees.
Third-party providers may also independently modify their technology, privacy policies, security practices, or terms.
Trainees are encouraged to review the current versions of third-party privacy policies through the links provided on this page.
12. Trainee Responsibilities
By participating in ClearWell EMDR Basic Training, trainees are expected to use course technology in a manner consistent with professional, ethical, privacy, and confidentiality expectations. Trainees are expected to remain on camera for all aspects of the training experience (didactic, practicum and consultation included) in order to successfully complete the training.
Trainees are expected to:
Protect client confidentiality;
Avoid disclosure of PHI or identifying client information;
Respect the privacy of fellow trainees;
Follow ClearWell's recording restrictions;
Not use unauthorized recording, transcription, or AI capture tools;
Protect their login credentials and course access;
Participate from an appropriately private environment during experiential activities whenever reasonably possible and remain on camera for the entire training;
Follow ClearWell's practicum and emotional-safety guidelines;
Follow applicable professional and ethical requirements; and
Contact ClearWell when they have questions or concerns about technology, privacy, confidentiality, or accessibility.
13. Relationship to ClearWell's Privacy Policy
This document is intended specifically to explain technology use and privacy considerations associated with participation in ClearWell EMDR Basic Training.
It supplements, rather than replaces, ClearWell EMDR's general Privacy Policy.
ClearWell's Privacy Policy provides additional information regarding ClearWell's collection, use, storage, and disclosure of personal information associated with our website, registration, services, and business operations.

14. Access to This Information
ClearWell makes information about course technology use and related privacy practices available to trainees throughout their participation in EMDR Basic Training.
This EMDR Basic Training: Technology Use & Privacy document is available through ClearWell's website and/or LearnWorlds learning management system and is accessible to trainees as part of course orientation and training resources.
Trainees are encouraged to review this information before participating in synchronous training and experiential practicum activities.
